Firm Management

How to create a firm, invite members, manage roles, and track firm usage.

Firms let you organize your team, share credits, and track usage across all members. Firms are optional — you can use Exlitem as an individual attorney without one.

#Creating a Firm

  1. Go to Dashboard → Firm
  2. Click Create Firm
  3. Enter your firm details:
    • Firm Name (required)
    • Website (optional)
  4. Click Create

You automatically become the firm's first Admin.

#The Organization Console

Once your firm exists, Dashboard → Firm opens the Organization Console — a tabbed view of everything your firm is doing on Exlitem. Which tabs you see depends on your role:

If your role doesn't grant access to any of these — or you haven't created a firm yet — you get the simpler firm view instead, with your member list and the create-a-firm path.

#Rate Card, Terms & Billing Contact

The Billing tab's "Rate card & terms" card shows what your firm pays per report and scan, your billing mode (pay-as-you-go via Stripe, or invoiced monthly), net terms, and payment method. All of that is configured by Exlitem staff and stays read-only.

The billing contact — who we email about your firm's invoices — is the one field on this card an Org Admin can change directly, without contacting support. Click the pencil next to the billing contact to open the editor. Try it below:

A billing contact doesn't need its own Exlitem account — a shared inbox like [email protected] works well. If you change the contact's email, we send a courtesy notice to the previous address so a change never goes unnoticed. To prevent abuse, the billing contact can only be changed a limited number of times in a short period; if you hit that limit, wait a bit and try again.

Only Org Admins see the edit button — everyone else sees the same card as read-only.

Want a different plan, or to negotiate your rate? Org Admins get a Contact sales link right on this card — it opens a pre-filled form instead of a bare email address, so the request is tracked and you get a real confirmation. Everyone else sees "Ask a firm admin to contact sales about plan or rate changes" instead of the link.

#Inviting Members

Members are invited from the People tab, by anyone whose role allows managing people:

  1. Click Invite member
  2. Enter the colleague's email address
  3. Pick the role they should join as — the picker shows what each role can do
  4. Click send

They'll receive a tokenized email invitation. If they don't have an Exlitem account yet, the invitation is consumed when they sign up — no need to coordinate timing. Any personal credits they hold move into the firm's shared pool when they accept.

#Inviting from a matter

When the point is one matter rather than the whole firm, there's a shorter path: open the matter, switch to its Access tab, and invite by email from there. Those invitations default to Restricted Viewer, and when the person accepts they land on that matter and see all of its research — nothing else. The same tab lets you grant an existing teammate access to the matter. See Matters → Access Tab.

#Roles

Firms have four roles:

Prices and billing figures are hidden from Viewers and Restricted Viewers throughout the product, not just on the console. The same goes for matter creation: a firm matter is a firm-wide record, so the New Matter button, the + New → New matter entry and the dashboard's New matter shortcut only appear for Org Admins and Members.

#Changing roles and removing members

From the People tab, use the role control on any member's row to move them between the four roles, or remove them from the firm. You can't remove or demote the last Org Admin — someone has to hold the keys. Removed members lose access to firm credits and reports but keep their individual account.

#Sharing with Restricted Viewers

Every row on the People tab carries a Manage access toggle — click it to expand a panel showing exactly what that person can open, with per-report shares and matter grants side by side. For a Restricted Viewer this is their entire access, so you can add or remove either right there.

For an Org Admin, Member, or Viewer, the panel opens read-only: since that role already sees all firm research, a share or a grant would add nothing, and the panel says so. It still lists — and lets you revoke — anything left over from a role that person held before their last promotion, since changing someone's role never revokes what was already shared or granted to them.

To give a Restricted Viewer everything on a matter — including reports ordered later — grant them matter access from that matter's Access tab instead of sharing report by report. On the Expert Atlas hub they'll then see the matter in their Your matters card and its reports under Shared with you.

People

Every row carries a Manage access control now.

#Shared Credits

When you're part of a firm, all credits are pooled:

  • Any firm member can spend credits to unlock expert profiles
  • Only Org Admins can buy more — everyone else sees a Request more credits button that notifies the admin
  • Personal credits move into the shared pool when someone accepts a firm invitation

#Firm Usage

The Usage tab breaks down what your firm is spending and who's spending it — a per-person table, a rollup by claim or matter, and a CSV export for anyone who needs the numbers outside Exlitem.

The Settings tab's "Firm logo" card lets you brand the reports your firm shares outside Exlitem. Once set, your logo appears beside the Exlitem wordmark on:

  • The external share link recipients open (see Sharing a report)
  • The invitation email that carries that link

It's co-branding, not a replacement — the Exlitem wordmark always shows, since that's what tells a recipient the link is genuinely from Exlitem. With no logo set, the header is exactly what it was before this feature: Exlitem's alone.

  1. Open Settings on the Organization Console
  2. Click Upload logo and pick a JPEG, PNG, or WebP file up to 2 MB — SVG isn't accepted, since it can carry a script and these files render straight into a page recipients open unauthenticated
  3. Once it's uploaded, use Replace logo to swap it or Remove to take it back off

Only people whose role can manage firm settings (the same permission that grants the People tab) see the upload controls.

Shown alongside the Exlitem logo on secure report links you share and on the invitation emails that carry them. Recipients outside your firm see it; nothing inside Exlitem changes.
